Work Environment:
This hybrid role requires remote work approximately 50% of the time. Candidates must have a suitable home workspace and be flexible with work hours to accommodate West Coast team schedules.

Compensation: ( Pay Range: $63,000 - $72,000) Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.

The Manager, USAP West and Estate Administration, plays a dual role within the USA Philanthropy Department, supporting both the USAP West fundraising team and the Estate Administration function. This position offers a flexible 50/50 time split between the two areas and provides a unique opportunity for professional growth in frontline fundraising and gift administration.

In partnership with USAP West Officers, the Manager will help drive strategy and execution for high-net-worth donor portfolios, supporting cultivation, solicitation, and stewardship efforts. The Manager will also coordinate donor communications, reporting, and database management, ensuring seamless engagement and accurate recordkeeping.

On the Estate Administration side, the Manager will oversee the processing of beneficiary claims and small estate tasks, collaborating with Legal, Finance, and Philanthropy teams to ensure timely and accurate handling of estate gifts.

Key Responsibilities:

USAP West:
Collaborate with Officers to implement donor strategies and manage portfolios.
Draft donor correspondence, including letters and contact reports.
Support bank transaction documentation in compliance with IRC and donor policies.
Prepare materials and briefings for donor meetings and internal strategy sessions.
Track stewardship requirements and timelines for assigned donors.
Serve as liaison between donors, prospects, and field staff to ensure clear, strategic communication.
Coordinate with Prospect Research, Analytics, and Operations to manage the full donor lifecycle.
Maintain and update donor records in Salesforce, including proposals, reports, and communications.
Oversee internal review and approval processes for donor materials.
Lead or support special projects as assigned.
Estate Administration:
Manage claims for retirement accounts and life insurance distributions.
Communicate with estate representatives and coordinate document processing across departments.
Facilitate notarization and authentication of estate documents (notary certification required within 6 months; training provided).
Maintain estate records in Salesforce and organize electronic and physical files.
Work with Global Donation Operations to ensure accurate processing of estate distributions.
Perform additional estate-related tasks as needed.
